How to Get Started with Gammatica?

8 Key Steps to Save Your Team Time

1 - Introduction

  • You can sign up in less than a minute using your email address or Google account at app.gammatica.com.
  • Once registered, the introduction pages will guide you through the first steps of setting up your super-efficient management system within Gammatica.
  • Join the Gammatica Facebook group to connect with the PRO productivity titans. (Closed group, for growth-hungry entrepreneurs only)
  • Gammatica is currently available in English and Hungarian.

2 - Workspace - intro

  • Create a workspace
  • Enter your brand name
  • Upload your logo (max. 200 KB)
  • Create a custom Gammatica link
  • And click on the next step
  • The workspace represents your company, within which there are:
    • Teams
    • Users
    • Calendars
    • Kanban boards
    • Extended task view
      • Keyword recognition
      • Client assignment
      • Checklist assignment
    • Keywords
    • Customer journeys
    • Checkable checklists

3 - Teams - intro

  • Create team
    • For example: Sales, HR, Finance etc.
  • Choose a color
  • Invite team members
  • Click on the next step button

Pro tip: Why is it important to have teams?

  • It will play a crucial role in keyword recognition
  • It will speed up the process of inviting teams to boards
  • Within teams, you can create Kanban boards, which are essentially projects

4 - Keywords - intro

  • Introducing a feature you’ve never seen before: Gammatica Keyword Master.
  • What exactly does this feature do?
    • The system recognizes pre-loaded keywords when adding tasks and suggests them to the selected team(s).
    • You can predefine keywords (e.g., “Contract Modification”)
    • You can choose the associated suggested task
      • Customer journey (e.g., if you set “Sample12 Ltd” as a keyword, and anytime someone adds a task in the calendar or Kanban board with “Sample12 Ltd meeting”, Gammatica will suggest linking the task to the client)
      • Checklist (e.g., if you set “Contract Modification” as a keyword, and anytime someone adds a task with “Contract Modification”, Gammatica will suggest attaching a checkable checklist to ensure the highest quality of service)
      • Hybrid (e.g., if you previously set both “Contract Modification” and “Sample12 Ltd” as keywords, and someone adds a task like “Sample12 Ltd Contract Modification”, Gammatica will suggest attaching the checklist and linking the task to the client)

5 - Calendar Sync intro

  • Import your existing calendar events with a few clicks from:
    • Apple - iCalendar
    • Google - Google Calendar
    • Microsoft - Outlook
  • Note: This feature currently only imports events, so it’s a one-way process. It copies events from your previous calendar to your Gammatica calendar..

6 - Checklists and customer journeys

  • Why do you need checklists?
    • Every business has recurring tasks or journeys
    • You’ve probably come across questions like:
      • “How do I create a new client in the CRM?"
      • “How do I modify the contract?”
      • “How do I send the proposal?”
    • With checkable checklists, you can “clone” your knowledge. What does this mean exactly?
    • You pre-create the checklist in writing or even in video format, so that the next time an employee needs to send a proposal, they can follow your list.
    • This helps to avoid missing crucial steps in the process.
    • Moreover, your employee can let you know if there is something wrong with the checklist.
  • Why do you need customer journeys?
    • Every business deals with clients or customers.
    • Managing many clients can make it challenging to track processes or tasks.
    • “Has the invoice been sent?”
    • “Have we fulfilled the terms of the contract?”
    • “Did we send them a report?”
    • That’s why customer journeys are an excellent feature. They allow you to track the following for each client:
      • Client name
      • Any variable related to the client (e.g., phone number, email address, contract date, etc.)
      • Tasks linked to the client
      • You can even create new tasks here and assign them directly to a team member

7 - Projects

  • Within a team, you can create projects.
  • These projects appear on a Kanban board.
  • You can switch or edit each project in the upper right corner of the Kanban board.
  • A project can be used for various purposes:
    • For example, the Finance team can track sent invoices and create a new task for the next month when checking off an invoice.
    • The HR team can track job applicants.
    • The IT team can track feature development.
    • The Design team can track the design phases of features.

8 - Pro Templates

  • Pro templates speed up processes.
  • These pre-made templates help you avoid starting from scratch for tasks such as:
    • Building checklists
    • Planning journeys
    • Creating keyword lists
  • We’ve created templates that you can use.
  • For example, the contract creation process is similar in many companies. An Pandadoc that can be duplicated in your Gammatica checklist database with a few clicks.
  • Selling services often follows a similar process: consultation, sending a proposal, signing a contract, etc. A customer journey template can help you quickly create your ideal customer journey.
  • An SEO agency and a marketing agency share several steps, such as SEO audit, onboarding call, sending reports. If you find a relevant keyword list like “SEO agency”, you can import these keywords and suggestions (checklist, journey) into your database.

Note.: In the future, this feature can generate revenue for your business, as we will reward submitted templates. The better the template, the more revenue you can earn. This feature is not active yet, but you can still submit templates. Submission buttons are available in the sections of checklists and journeys.
