Assigning Task Responsibilities

  • Assign one responsible person for task assignments. It’s advisable to designate a responsible person for important tasks.
  • Project managers or account managers can log into any colleague’s calendar and assign tasks there.
  • They can also enter Kanban projects and assign tasks to colleagues’ calendars.

How to Assign Tasks?

  • Whether in the calendar or in projects, when adding a task, always include the following information:
    • Task name.
    • Task description.
    • Task deadline.
    • Person responsible for the task.
    • For recurring tasks, set up the recurrence.
    • If there’s a checklist, add it to the task.
    • If there is a client involved, link the client.
  • Time-bound tasks are clearly visible in the calendar.
  • In the TO-DO list in the calendar, pending tasks awaiting assignment are clearly visible.
  • You can navigate from the TO-DO view in the calendar to the “Forgotten Tasks” column, where pending tasks are visible for assignment.

Daily stand-up

  • Conduct daily stand-ups within the company.
  • Ideal team size: 5-6 members.
  • What does it involve? Start the day with a quick meeting, covering the following:
    • What is the most important task of the day?
    • What does your day look like?
    • Are there any obstacles to completing your day’s tasks?
    • Do you have any pending tasks from the previous day?
  • If something isn’t a priority, you can still make adjustments to the calendar.

What happens if a task isn’t completed?

  • It will be discussed in the next day’s stand-up.
  • If a task isn’t checked off, it appears in the “Forgotten Tasks” column of the TO-DO view.
  • You can reassign forgotten tasks as new tasks.
